Job Description

Supervise or assist in supervising the operations of PTC facilities and associated equipment management. The employee works within departmental guidelines, facilities management manuals, negotiated labor contracts, regulations, policies, and procedures.

Qualifications / Skills

Minimum Requirements for Candidates

  • Diploma degree in engineering or building related field. A driver’s license is essential.
  • Five years related facility management experience.
  • Must possess knowledge and experience with building and fire codes, OSHA regulations, fire alarm systems and associated fire safety systems.
  • The ability to use the technology required in day-to-day work including experience in the use of word processing, spreadsheet and database software such as Microsoft Word and Excel.

Responsibilities

  • Assist in maintaining the required standards of appearance, safety and functionality of PTC premises.
  • Ensure that all essential building systems are operating correctly and efficiently. Such systems include: electrical, mechanical, security, elevator, fire suppression and plumbing, heating and air conditioning systems.
  • Supervise activities leading to repair needs and work with vendors to ensure completion of maintenance and repair work.
  • Maintain storage and updating of all warranties in effect.
  • Follow up replacement and purchasing of all furniture and equipment.
  • Supervise activities pertaining to facilities minor refurbishment projects.
  • Check to ensure that all building compliance requirements are met and are up to date.
  • Ensure that all access systems to PTC facilities are functioning properly.
  • Ensure that all security systems at all PTC facilities are functioning properly.
  • Responsibility for ensuring cleanliness of all PTC sites.
  • Responsibility for the management of direct reports including coaching and mentoring of Admin Assistants, Laborers, Genitors so they continually improve performance and achieve their potential.
  • Ensure that all members of the facilities team have up to date job descriptions and that effective use is made of the performance management system including setting of goals and objectives and carrying out regular performance reviews.
  • Ensure that all health and safety obligations are complied with by facilities staff and independent contractors.
  • Responsibility for collecting receipts, invoices, bills and filling claim forms and forwarding them to the Facilities Management Manager on time.
  • Ensure settlement of all bills related to daily running of facilities (e.g. electricity, water, phones, internet....etc.).
  • Assist in management of PTC office related vehicle fleet.
  • Assist in maintaining and keeping furniture and fittings up to date and replaced as appropriate.
  • Assist in management of all staff moves and relocations.
  • Assist in keeping meeting room setups including audio visual equipment as required.
  • Receiving of inwards goods, minor stores management, and management of the transport, mail, courier and stationery ordering functions.
  • Establish policies to insure adequate management development and to provide for capable management succession for those functions/business units falling under his responsibility.
  • Mentor and develop staff using a supportive and collaborative approach by assigning accountabilities; setting objectives; establishing priorities; and monitoring and evaluating results.
  • Establish the performance plans for direct subordinates including the Managers.
  • Guide Managers in establishing performance plans for their respective subordinates.
  • Participate in the identification of training and development initiatives for all employees within the Directorate of Shared Services.
  • Drive the engagement and satisfaction of all employees within the Directorate of Shared Services through holding periodic meetings to discuss the achievements of the Directorate of Shared Services and address any employee issues and/or concerns.
  • Empower team members to take business decisions by effectively delegating authority
  • Identify and recruit key senior talent for the department.
  • Act as a role model to champion PTC’s values to employees.
