Job Description

Provide pro-active and a high standard of effective secretarial/administrative support.

Qualifications / Skills

Minimum Requirements for Candidates

  • High proficiency in Arabic and English.
  • Languages –High proficiency in MS Word applications.
  • Minimum Diploma in a related field.
  • At least 5 years; preferably 2 years’ experience in similar role.

Expectations for Ideal Candidates

  • Diploma in Electronic Secretarial work and Office Management.

Responsibilities

  • Screening incoming posts, email and telephone calls, determining their priority and using initiative to deal with enquiry or redirect if necessary.
  • Greet visitors and deal with any needs or general inquiries that they may have to ensure they are made to feel comfortable and welcome.
  • To manage Manager’s diary and ensure that letters and enquiries are responded to in timely manner.
  • To maintain and develop both the physical and electronic filing systems to ensure accurate and speedy retrieval of required documentation and reports.
  • To perform all duties in a confidential manner.
  • To liaise with other staff members to co-ordinate the meetings / agendas / room bookings, and arranging conference calls etc.
  • To prepare reports presentations and correspondences of non-standard nature.
  • To routinely solve the administrative problems and questions including the installation and maintenance of furniture; workstation set-up; security access and control.
  • To arrange travel management for the Manager.
  • To maintain and control at all times the direct reports records including periods of staff sickness / holiday / other absence / training.
  • To act as a link between Manager Office and Administration Department to ensure supply of stationary and hospitality material (Tea, Coffee ...etc.).
  • To act as a link between MANAGER office and IT to ensure all electronic devices in the MANAGER office are functioning properly.
  • To work pro-actively to provide a high standard of effective secretarial support to ensure efficient completion of all duties, including but not limited to:
  • Dealing with correspondence.
  • Preparing mail.
  • Updating contact database.
  • Collating information and assisting with production of presentation or reports.
  • Minute Taking.
  • Keeping up to date list of action points from meetings.
  • Action point chasing.
  • Organizing meeting and travel bookings and processing expenses.
